About the Role

Ahaji Amos, PLLC is seeking 2 highly organized and proactive Virtual Assistants (20-40 hours per week) to provide comprehensive administrative support to our legal team. As a Virtual Assistant, you will play a crucial role in ensuring the smooth operation of our firm by managing a wide range of tasks that require meticulous attention to detail and a strong understanding of legal procedures. This is a fully remote position, offering the flexibility to work from anywhere.

We are looking for an individual who is passionate about supporting a dynamic business law firm and can adapt to the evolving needs of our clients. You will be instrumental in helping us maintain our commitment to providing exceptional legal services in areas such as litigation, partnership disputes, contracts, arbitration, and intellectual property enforcement matters.

Responsibilities

  • Manage and organize client case files, ensuring all documents are accurately filed and easily retrievable.
  • Schedule and coordinate client meetings, court appearances, and other appointments, managing complex calendars.
  • Prepare, proofread, and format legal documents, correspondence, and presentations.
  • Conduct legal research using various databases and resources.
  • Handle incoming and outgoing communications, including emails, phone calls, and mail.
  • Assist with billing and invoicing processes, ensuring accuracy and timeliness.
  • Maintain confidentiality of sensitive client information and firm matters.
  • Provide general administrative support, including data entry, document management, and travel arrangements.
  • Liaise with clients, opposing counsel, and court personnel as directed.

Requirements

  • Proven experience as a Virtual Assistant, Administrative Assistant, or similar role, preferably in a legal setting.
  • Excellent organizational and time management skills with the ability to prioritize tasks effectively.
  • Strong written and verbal communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint).
  • Familiarity with legal terminology and standard legal document formats.
  • Experience with legal research tools and databases (e.g., Westlaw, LexisNexis) is a plus.
  • High level of discretion and professionalism.
  • Ability to work independently and proactively with minimal supervision.
  • A reliable internet connection and a dedicated home office setup.

Nice to Have

  • Experience with legal practice management software.
  • Knowledge of specific areas of business law relevant to our practice.
  • Additional certifications in paralegal studies or administrative support.
